Help

Getting started (free plugin)

You can have a working booking page in about 10 minutes. Do these in order:

  1. Install. In your dashboard go to Plugins → Add New, search for “Roohsites Appointment Booking”, then install and activate it.
  2. Set your time zone and currency. Do this before you take real bookings.
  3. Add a service. Roohsites Appointment Booking → Services → Add New.
  4. Add a staff member who offers it, with working hours. Roohsites Appointment Booking → Staff → Add New.
  5. Put the booking form on a page. Use the Booking form block or the shortcode [rsab_booking].
  6. Make a test booking and check that the emails arrive. If they don't, see Troubleshooting. Then delete the test booking in Roohsites Appointment Booking → Bookings.

Time zone and currency (do this first)

Time zone

Roohsites Appointment Booking shows and books times in your website's time zone, and new WordPress sites start on UTC. If you leave it, customers see UTC times, which are probably wrong for your city. Roohsites Appointment Booking shows a warning on its own screens until you change it.

  1. Go to Settings → General and find Timezone.
  2. Open the list and choose your city, for example Asia → Kolkata. A city also handles daylight saving time for you.
  3. If the list only shows UTC offsets (UTC−5, UTC+5:30 and so on, with no cities), your host hasn't installed the city list. Choose your offset instead: India is UTC+5:30, Dubai UTC+4, Singapore UTC+8, New York UTC−5 in winter. An offset doesn't change for daylight saving time, so if your country uses it, switch the offset twice a year, or ask your host to enable the PHP time zone database so cities appear.
  4. Click Save Changes.

Set this before real bookings come in. A booking is stored as an exact moment in time, so changing the zone afterwards shows existing bookings at the new zone's clock time. Delete test bookings made before you changed it.

Currency

  1. Go to Roohsites Appointment Booking → Settings and open the Currency list.
  2. Choose yours, for example ₹ Indian rupee (INR) or $ US dollar (USD). The symbol shown next to prices follows your choice straight away. Choose Other to type your own symbol.
  3. Click Save Changes.

With Roohsites Appointment Booking Pro, this is also the currency customers are charged in, and the payment methods that don't take it are hidden. See Online payments.

Services

A service is something customers book, like “Haircut” or “Maths lesson”.

  1. Go to Roohsites Appointment Booking → Services → Add New and type the service name as the title. Customers see it.
  2. In the Service details box fill in:
    • Short description: one line shown under the name, such as “Wash, cut and blow-dry”.
    • Duration (minutes): how long the appointment takes.
    • Buffer after (minutes): clean-up or travel time blocked after each appointment. Nobody can book into it.
    • Price: shown to customers. Leave it empty to hide the price. In the free plugin, payment is collected in person. With Pro, customers can pay online.
  3. Click Publish.
  4. Open the staff members who offer it and tick it under Services offered. A service nobody offers can't be booked.

The Services list shows each service's ID, which you can use in the shortcode. With Pro, services can also have extras.

Staff

Staff are the people customers book with: hairdressers, tutors, coaches. A one-person business adds one.

  1. Go to Roohsites Appointment Booking → Staff → Add New and type the person's name as the title.
  2. Click Set photo (optional) to show a picture on the form.
  3. Email (optional): this person is emailed about their new bookings.
  4. Services offered: tick every service they do.
  5. Working hours: tick each day they work and set the start and end time. Times use the site time zone.
  6. Days off: add the dates they're away. Nobody can book them.
  7. Click Publish.

If more than one person offers a service, customers can pick one, or choose Anyone available, which books the first free person. A new staff member with no services ticked or no working days shows no times. With Pro, you can also add breaks and special dates and connect a Google Calendar.

Adding the booking form to a page

Block editor

  1. Create or edit a page (for example “Book now”).
  2. Click the + button, search for Booking form and add it.
  3. In the block's sidebar, Start with can preselect a service and a staff member, which is handy for a page about one service.
  4. Click Update, then link the page from your menu.

Shortcode (classic editor and page builders)

Paste [rsab_booking] into the page. In Elementor use the Shortcode widget, and in Divi a Text or Code module. You can preselect with the IDs shown in the Services and Staff lists:

What customers see

Three steps: Service, Date & time, then Your details (name, email, phone, notes). The calendar only lets them pick days with free times, and times are grouped into morning, afternoon and evening. The confirmation screen has an Add to calendar button. The form uses your brand colour and your theme's fonts, and works on phones.

Pages with the form tell caching plugins (LiteSpeed, WP Rocket and others) not to cache them, so times are always live. If a cache plugin still shows old times, add the page to its “never cache” list.

Settings explained

Go to Roohsites Appointment Booking → Settings:

Managing bookings and emails

Roohsites Appointment Booking → Bookings lists every booking. The links at the top filter it: Upcoming, Pending, Confirmed, Cancelled and Past (and Awaiting payment with Pro). Under each booking:

Who gets which email

The cancel link opens a page asking the customer to confirm. The booking is only cancelled when they press the button, so email scanners that open links can't cancel by accident. Customers can't cancel closer to the appointment than your minimum notice.

Roohsites Appointment Booking blocks spam with a hidden field and a short limit on repeat bookings from one visitor. It stores a one-way hash of the visitor's IP address for 10 minutes, never the address itself.

If emails don't reach customers, your host may not deliver WordPress mail. Install an SMTP plugin such as WP Mail SMTP or FluentSMTP.

Installing Roohsites Appointment Booking Pro

  1. Make sure the free Roohsites Appointment Booking plugin (version 1.0.0 or newer) is installed and active. Pro adds to it.
  2. Download Roohsites Appointment Booking Pro (a .zip file) from your purchase email, then go to Plugins → Add New → Upload Plugin, upload it and activate it.
  3. Go to Roohsites Appointment Booking → Pro settings and enter your licence key. Updates then arrive under Plugins like any other plugin.
  4. A My bookings page is created for you. Pro settings has a tab for each feature: Payments, Reminders, Google Calendar, Booking form, Customer portal and Emails.

You can try every Pro feature free for 14 days with no card. Start the trial from the pricing section.

Online payments (Razorpay, PayPal, Stripe)

Customers pay on Razorpay's, PayPal's or Stripe's own secure page, so card details never touch your site. Set it up in three steps.

Step 1: Choose your currency

In Roohsites Appointment Booking → Settings → Currency. The symbol on prices and the amount charged always use it. Each payment method takes some currencies, and Roohsites Appointment Booking hides the ones that don't take yours:

So a shop in India that charges in rupees uses Razorpay (UPI, cards, netbanking). A site charging in dollars uses PayPal or Stripe. Switching the currency switches which methods customers see.

Step 2: Payment options

Under Roohsites Appointment Booking → Pro settings → Payments:

Step 3: Connect a payment method

Razorpay (India: UPI, cards, netbanking)

  1. Log in at dashboard.razorpay.com. The switch at the top chooses Test mode or Live mode. Each has its own keys, so start in Test mode.
  2. Open Account & Settings → API keys → Generate key. Copy the Key ID and Key Secret now. The secret is shown once.
  3. In Pro settings → Payments tick Razorpay, paste both and save.
  4. Add the webhook so bookings confirm even if the customer closes the tab.
  5. Make a test booking. In Test mode, pay with the test UPI ID success@razorpay. When you're happy, switch to Live mode, generate Live keys and paste those instead.

PayPal

  1. Go to developer.paypal.com, log in and open Apps & Credentials. The switch at the top chooses Sandbox (for testing) or Live. Each has its own keys.
  2. Click Create App, name it after your business, keep the type Merchant and create it.
  3. Copy the Client ID. Under Secret key 1 click Show and copy the secret.
  4. In Pro settings → Payments, tick PayPal and paste both. Tick PayPal sandbox if you used Sandbox keys, and untick it for Live keys. If PayPal rejects the keys, this tick box not matching the keys is the usual reason.
  5. Choose a currency PayPal accepts, such as USD, EUR or GBP, in Roohsites Appointment Booking → Settings → Currency.
  6. Add the webhook.

To test first: with Sandbox keys, open Testing tools → Sandbox accounts in the PayPal developer dashboard and create a Personal account. That is a fake buyer. When you pay on your booking form, log in to PayPal with that account's email and password (open it with the … menu, then View/edit account). Don't use the Business sandbox account to pay, because a shop can't pay itself. Real PayPal logins don't work in the sandbox, and no real money moves. When you're happy, paste your Live keys and untick PayPal sandbox.

Stripe

  1. Log in at dashboard.stripe.com and turn on Test mode.
  2. Open Developers → API keys and reveal the Secret key (it starts with sk_test_).
  3. In Pro settings → Payments tick Stripe, paste the key and save.
  4. Add the webhook and paste its signing secret.
  5. Pay with Stripe's test card 4242 4242 4242 4242, any future expiry date and any CVC. For real payments, turn Test mode off and use your sk_live_ key.

What customers see

On the last step they choose how to pay (only if you've connected more than one method), pay on the provider's page, and come back to “You're booked!” with the amount paid. If they abandon the payment, the slot is released after the hold time.

Payment webhooks (recommended)

Without webhooks, a booking is confirmed when the customer comes back to your site, or by a background check every few minutes. With webhooks, the payment provider tells your site the moment the money arrives, even if the customer closes the tab.

The Webhooks box under Pro settings → Payments shows your webhook address, the events to tick, and when the last notice arrived. Add the address in your provider's dashboard:

Every notice is double-checked with the provider before a booking changes.

Refunds to your customers

Choose when a cancelled paid booking is refunded under Pro settings → Payments → Refund paid bookings:

The full amount goes back the way it was paid (card, UPI or PayPal). Paid, cancelled bookings also get a Refund link in the bookings list, which you can use if automatic refunds are off or a refund failed. The failure reason is shown there too.

Reminders

Reminders cut no-shows. Under Pro settings → Reminders:

  1. Email reminders: tick it. It works straight away.
  2. First reminder and Second reminder (hours before): for example 24 and 2. Enter 0 to turn one off.
  3. Make phone number required: tick it if you use SMS or WhatsApp, so every booking has a number.
  4. Default country code: for example +91. It's added to numbers typed without one.
  5. To add SMS or WhatsApp, follow SMS or WhatsApp below, then click Save Changes.

How reminders work

Send a test message

The Send a test message box at the bottom of the Reminders tab sends one SMS or WhatsApp message to a number you type, so you can check your keys before real customers rely on them. If it fails, the box shows the provider's exact error. Save your settings first.

SMS reminders (Twilio)

Roohsites Appointment Booking sends SMS through Twilio. You need a Twilio account and a Twilio phone number that can send to your customers' country.

  1. Create an account at twilio.com. A free trial gives some credit.
  2. In the Twilio Console, copy your Account SID and Auth Token (Account → API keys & tokens → Auth tokens).
  3. Get a phone number: Phone Numbers → Manage → Buy a number. Choose one that supports SMS in the countries you'll message. Not every country offers a free trial number.
  4. Allow the destination country: Messaging → Settings → Geo permissions. Tick the countries your customers are in.
  5. On a trial account, Twilio can only message numbers you've verified (Phone Numbers → Manage → Verified Caller IDs) and adds “Sent from your Twilio trial account” to messages. Upgrading removes both limits.
  6. In Pro settings → Reminders tick SMS reminders (Twilio) and paste the SID, the auth token and the Twilio number with its + and country code. Save.
  7. Use Send a test message to check it.

The message reads “Reminder: Haircut on Monday, 2 November at 11:30 am at Your Business. To change or cancel: (link)”.

Sending to India: Indian networks require senders to register their message templates and sender names (called DLT), and messages from an unregistered international number are often blocked. For Indian customers use WhatsApp instead, or a registered Indian SMS provider.

WhatsApp reminders

Roohsites Appointment Booking sends WhatsApp messages through Meta's official WhatsApp Cloud API. WhatsApp only lets a business start a conversation with an approved message template, so you create one template and Roohsites Appointment Booking fills it in for each booking. It's free to try with Meta's test number. Meta renames screens now and then, so if a menu looks different, look for the same words.

Part 1: Create the app and the test number

  1. Go to developers.facebook.com, log in with Facebook and finish the developer sign-up.
  2. Click Create App, name it (for example “Roohsites Appointment Booking”), and choose the use case Connect with customers through WhatsApp. Choose or create a free business portfolio when asked.
  3. In the app, open Use cases → Customize on the WhatsApp use case, then API setup. You'll see a free test phone number, its Phone number ID and a temporary access token (valid for 24 hours).
  4. Under Recipient, choose Manage phone number list, add your own WhatsApp number and enter the code WhatsApp sends you. The test number can only message numbers on this list.
  5. Click Send message under Meta's sample template. A message from the test number should arrive on your phone. That proves the number and recipient work.

Part 2: Create the reminder template

  1. Open WhatsApp Manager (business.facebook.com) → Message templates → Create template. Make sure the business account matches the Messaging account ID on your API setup page.
  2. Category Utility, name appointment_reminder (lower case, underscores), language English.
  3. Body, with exactly these three variables in this order:
Hi {{1}}, this is a reminder of your {{2}} appointment on {{3}}. Reply to this chat if you need to change it.
{{1}} is the customer's name, {{2}} the service and {{3}} the date and time.
  4. Add sample values when asked (for example Asha, Haircut, Monday 2 November at 11:30 am) and submit. Review takes minutes to a few hours. Wait for the status Active.

Part 3: Connect it to Roohsites Appointment Booking

  1. In Pro settings → Reminders tick WhatsApp reminders.
  2. Phone number ID: from API setup. Access token: click Generate new token there and paste it. Message template name: appointment_reminder.
  3. Template language code: en for “English”, en_US for “English (US)”, en_GB for “English (UK)”. It must match the template exactly.
  4. Set the default country code, tick Make phone number required and save.
  5. In Send a test message, type your WhatsApp number with its country code, choose WhatsApp and click Send test.

Part 4: Go live for your customers

The test number and the 24-hour token are for trying things out. For real customers:

  1. Add your own business number. In WhatsApp Manager open Phone numbers → Add phone number and verify it. The number must not be in use in a normal WhatsApp or WhatsApp Business app (delete that account from the app first) and must be able to receive a call or SMS for the code. Use the new number's Phone number ID in Roohsites Appointment Booking.
  2. Create a permanent token. In Meta Business settings open Users → System users → Add, name it “Roohsites Appointment Booking” and give it the Admin role. Choose Add assets and give it full control of your app and your WhatsApp account. Then Generate token: choose your app, set expiry to Never, tick whatsapp_business_messaging and whatsapp_business_management, and copy the token into Roohsites Appointment Booking's Access token.
  3. Publish the app. In the app's menu open Publish and switch it to Live. Meta may ask for your website's privacy policy address.
  4. Re-send a test message to check the live setup.

Meta charges for template messages once any free allowance is used up, so check its current pricing for your country. WhatsApp messages only go to customers who gave a phone number on the form.

Google Calendar

Roohsites Appointment Booking Pro can add each booking to a staff member's Google Calendar, and stop customers booking times when that person is already busy. You set it up once per website in Google Cloud (free, about 10 minutes). Then each staff member connects their own calendar.

Part 1: Set up Google Cloud (once)

  1. Create a project. Go to console.cloud.google.com and sign in with your business Google account. Open the project menu at the top, choose New project, name it “Roohsites Appointment Booking bookings” and click Create. Check that it's the selected project.
  2. Turn on the Google Calendar API. Open APIs & Services → Library, search for “Google Calendar API”, open it and click Enable. Don't skip this step: without it, connecting looks successful but no bookings reach the calendar.
  3. Set up the consent screen. Open APIs & Services → OAuth consent screen (Google also calls it Google Auth Platform) and click Get started. Enter your business name as the app name, because your staff see it when they connect. Choose your email as the support email, choose External as the audience, enter your email as the contact, agree to the policy and click Create.
  4. Publish the app. Open Audience, click Publish app and confirm. Don't leave it in Testing: in that mode Google blocks everyone you haven't added as a test user (“Access blocked”) and ends every connection after 7 days. Publishing is fine for your own use. Google only asks for verification from apps that serve the public.
  5. Create the client. Open Clients → Create client (on older screens: Credentials → Create credentials → OAuth client ID). Choose Web application and give it any name. Under Authorised redirect URIs click Add URI and paste the address shown in Roohsites Appointment Booking under Pro settings → Google Calendar. It must match exactly. Click Create, then copy the client ID and client secret.
  6. Paste them into WordPress. In Pro settings → Google Calendar, paste the client ID and secret and save. Keep Add bookings to staff calendars and Block times that are busy in Google Calendar ticked.

Part 2: Connect each staff member

  1. Open Roohsites Appointment Booking → Staff, open the person and click Connect Google Calendar in the Google Calendar box. Each person connects their own Google account, so do this together, or while they're signed in to Google in your browser.
  2. Choose their Google account. Google shows “Google hasn't verified this app”. This is normal for your own app. Click Advanced, then Go to (your app name) (unsafe), then allow access.
  3. You come back to the staff page, which should say Connected with their Gmail address underneath. If the address is missing, Google refused the Calendar API: see the first fix in Troubleshooting.

Part 3: Test it (2 minutes)

How the sync works

Admin calendar

Roohsites Appointment Booking → Calendar shows your bookings on a calendar, for you and your team.

You need at least one staff member before the calendar shows anything.

My bookings page (customer portal)

Customers see and manage their bookings without an account. Every booking email has a Manage booking link, and the My bookings page lets them type their email to get a sign-in link (it works for 24 hours). From there they can cancel and, if you allow it, reschedule: they pick a new day and time on a calendar and click Move my booking, and everyone is emailed the new time.

  1. Go to Pro settings → Customer portal.
  2. Let customers reschedule: tick it to allow it.
  3. Latest change (hours before): customers can't cancel or move closer to the appointment than this.
  4. My bookings page: choose the page that emails link to. Roohsites Appointment Booking creates one for you. It holds the My bookings block, or the shortcode [rsab_my_bookings] if you use a page builder.
  5. Add that page to your menu so returning customers can find it.

Service extras

Optional add-ons customers can pick with a service, like “Head massage”. They add to the price and to the appointment length.

  1. Open the service in Roohsites Appointment Booking → Services.
  2. In the Extras box click Add extra.
  3. Type the Name (for example “Head massage”), the Price and the Extra minutes.
  4. Click Update. Customers see Add extras under the service, and the booking summary shows the new total and length.

Coupons

  1. Go to Roohsites Appointment Booking → Coupons → Add New.
  2. Type the code as the title, for example WELCOME10.
  3. Under Discount choose % off or a fixed amount off, and enter the number.
  4. Expires (optional): the coupon is valid until the end of that day.
  5. Usage limit: how many times it can be used. Leave it empty for unlimited. The coupon shows how many times it's been used.
  6. Services: tick the services it applies to, or none to allow every service.
  7. Click Publish. Customers type it into Coupon code on the booking form and see the new price straight away.

Extra questions on the form

Ask customers anything you need to know before the appointment, like “Hair length” or “Allergies”.

  1. Go to Pro settings → Booking form.
  2. Click Add question and type the Question.
  3. Choose the Answer type: Short answer, Paragraph, Drop-down (type the Options separated by commas) or Checkbox.
  4. Tick Required if customers must answer.
  5. Click Save Changes. The questions appear in the “Your details” step, below name, email, phone and notes, and the answers are kept with the booking.

Breaks and special dates

Open a staff member in Roohsites Appointment Booking → Staff and use the Breaks and special dates box.

Click Update to save.

Branded emails

  1. Go to Pro settings → Emails.
  2. Tick Branded HTML emails. Emails then use your brand colour.
  3. Logo URL: the web address of your logo image (upload it in Media and copy its URL).
  4. Footer text: shown at the bottom of every email, for example your address and phone number.
  5. For each email (Booking confirmed, Request received (pending), Booking moved, Booking cancelled and Reminder) you can change the subject and the opening message. Leave a box empty to keep the default wording.
  6. In your wording you can use {customer_name}, {service}, {staff}, {date}, {time} and {site_name}. They're replaced for each booking.
  7. Click Save Changes, then make a test booking to see the result.

Customer data requests

If a customer asks for a copy of their data, or asks you to delete it, use WordPress's own privacy tools:

Suggested wording for your own privacy policy is under Settings → Privacy.

Troubleshooting

The booking form doesn't show on my page

The form needs at least one published service and one staff member who offers it. When you're logged in as an administrator, the page shows a note saying what's missing; visitors see nothing.

Booking emails don't arrive

Many web hosts don't deliver WordPress email reliably. Install an SMTP plugin such as WP Mail SMTP or FluentSMTP and connect it to your email provider. Roohsites Appointment Booking uses the standard WordPress mail function, so it works with all of them. Also check the spam folder.

Times are an hour or more out

Roohsites Appointment Booking uses the time zone in Settings → General, and new sites start on UTC. Choose your city, or if the list only shows UTC offsets, your offset (India is UTC+5:30). See Time zone and currency. Set it before real bookings come in.

A day or time I expected isn't offered

Check the staff member's weekly hours, days off, breaks and special dates, your minimum notice and booking window in Roohsites Appointment Booking → Settings, and (with Pro) busy times in their Google Calendar.

Reminders are late, or paid bookings stay “awaiting payment”

Reminders and payment checks run every 5 minutes through WP-Cron, which only runs when someone visits your site. On quiet sites, ask your host to set up a real cron job that calls wp-cron.php every 5 minutes, and add payment webhooks so payments are confirmed instantly.

The payment page shows a currency error

Check the currency in Roohsites Appointment Booking → Settings → Currency. Each provider supports its own list of currencies, and Roohsites Appointment Booking hides the ones that don't take yours: PayPal doesn't accept Indian rupees, and Razorpay needs INR unless international payments are switched on for your account. A warning on Pro settings → Payments says which payment method is hidden and why.

Google Calendar says “Connected”, but bookings don't appear in it

The Google Calendar API isn't switched on in your Google Cloud project. Open APIs & Services → Library in the same project as your OAuth client, search for “Google Calendar API” and click Enable. Wait a minute, then disconnect and connect the staff member again and make a new booking. Bookings made before the fix aren't sent automatically. Newer versions of Roohsites Appointment Booking Pro show Google's message in red on the staff page when this happens.

Google says “Access blocked: … has not completed the Google verification process”

Your Google app is still in Testing. Open Audience on the consent screen and click Publish app. See Part 1, step 4.

Google says “redirect_uri_mismatch”

The redirect address in your Google client must match the one shown under Pro settings → Google Calendar exactly, including https, www and every character at the end. Edit the client in Google Cloud, fix it and try again after a minute or two.

Google Calendar worked, then stopped about a week later

Your Google app was left in Testing, which ends connections after 7 days. Click Publish app under Audience, then disconnect and connect each staff member again.

A payment method is missing from the booking form

Check that Take payments online is ticked, that the method is ticked with its keys saved, and that it takes your currency. Roohsites Appointment Booking hides methods that don't: PayPal doesn't take rupees, and Razorpay needs INR. The Payments tab shows a warning saying which one is hidden and why. Change the currency in Roohsites Appointment Booking → Settings → Currency.

No SMS or WhatsApp reminder arrived

Check, in order: the booking is Confirmed; the customer gave a phone number; it was made earlier than the reminder window (a booking made one hour before the appointment gets no 2-hour reminder); the reminder time has passed; and WordPress's scheduler has run (see the next answer). Then use Send a test message on the Reminders tab, which shows the provider's exact error.

WhatsApp says “(#132001) Template name does not exist in the translation”

Meta can't find an Active template with that name and language for your number. Check in WhatsApp Manager that the template's status is Active, that the name is exactly what you typed (lower case with underscores), that the Template language code matches (English is en, English (US) is en_US), and that the template belongs to the same WhatsApp business account as your phone number ID.

WhatsApp says “Recipient phone number not in allowed list”

You're using Meta's test number, which can only message numbers you've added under API setup → Recipient → Manage phone number list. Add the number there, or go live with your own business number.

WhatsApp or SMS worked, then stopped

The most likely cause is an expired token. Meta's temporary access token lasts 24 hours: create a permanent one (Part 4). On a Twilio trial account, messages only go to numbers you've verified, and the trial's credit can run out.

Licence and billing

Where do I find my licence key, invoices or downloads?

In your purchase email, and in your account at users.freemius.com. Our reseller, Freemius, runs the checkout and the customer account.

How do I move my licence to another website?

On the old site, go to Roohsites Appointment Booking → Account and deactivate the licence, then enter the key on the new site. If you can no longer get into the old site, email us and we'll free it up.

How do I cancel automatic renewal?

Cancel it in your account at users.freemius.com, or email us. Your licence stays active until the end of the period you paid for, and Roohsites Appointment Booking Pro keeps working after that. You just stop getting updates and support.

Can I get a refund?

Yes, within 14 days of purchase. See our refund policy.
